We’ve all seen it happen towards the end of an exhibition. Brochure’s start being packed away, part of the team disappears and those who remain are already thinking about the journey home. The stand may technically still be open, but everything about it suggests the day has finished.
The problem is that the show hasn’t finished, and neither have the opportunities.
I’ve watched visitors walk past stands where the team had clearly switched off and engage instead with a competitor who was still operating properly. They were attentive, welcoming and ready to give that visitor the same level of interest they would have received at the beginning of the first day. That final conversation could become the biggest piece of business generated by the entire event.
We never really know who is walking towards us or what opportunity they might bring. They may have arrived later than planned, spent the day working through a long list of meetings or deliberately waited until the show became quieter so they could have a proper conversation. Whatever the reason, they have invested their time in attending and deserve the same welcome as everyone else.
Exhibiting requires a significant investment in the stand, transport, accommodation and the time your team spends away from their usual work. Months of preparation can go into creating an experience that lasts only a day or two, so it makes little sense to give up on it before the doors officially close.
I understand that people become tired. Exhibition days can be long, particularly when you have also been involved in the build, but professionalism matters just as much during the final hour as it does when the show opens. Packing away early tells remaining visitors that leaving is more important than speaking to them, while also creating unnecessary problems for organisers and contractors managing a safe breakdown.
The strongest exhibitors plan for the whole event. They manage breaks, make sure enough people remain on the stand and keep the space presentable until the final announcement. Most importantly, they continue looking outwards and remain ready to engage. Someone slowing down nearby may be deciding whether to approach, and a smile or a simple hello could begin the conversation that makes the entire event worthwhile.
The work also continues once the show has closed. Contact details will have been exchanged, future projects discussed and promises made to continue conversations. Following up with a short, personal message that refers to what was discussed demonstrates the same professionalism shown on the stand and gives the relationship somewhere to go next.
Throughout this series, I’ve talked about how the experience starts before you arrive, the value of exploring the whole show and the importance of leaving room for conversations you didn’t plan. It therefore feels right to finish with something equally straightforward: the show is open until it closes.
Every visitor matters and every conversation deserves your attention, regardless of when it happens. So, remain focused, keep the stand welcoming and maintain your professionalism until the very end.
Your last visitor of the day could become your biggest customer tomorrow.
